• 300-person capacity — the event needed to accommodate a large guest list while maintaining intimacy and engagement
• Employee engagement focus — beyond the dinner, RHB wanted interactive elements that would encourage participation, laughter, and team bonding
• A prestigious venue — Hilton Hotel Level 5 was selected for its versatile ballroom space and central location

How We Delivered a Seamless Pre-Event Guest Experience

The journey began well before event day with a robust and fully managed pre-event guest experience. Guests were welcomed with custom-designed digital invitations, complete with embedded QR codes for RSVP and easy access to event registration. Our dedicated creative team ensured consistent branding across all event collaterals, from email blasts to printed materials, providing a professional and polished first impression.

We implemented an efficient registration system using QR code scanning, allowing guests to check in smoothly and securely. This system also tied directly into a rolling lucky draw platform, where each attendee had a chance to win exciting prizes during the evening—further boosting engagement.

We kept spirits high with interactive fringe activities designed to suit all preferences. These included:

• Caricature drawings for a personalised souvenir
• Fan painting and Tarot card readings to celebrate traditional arts
• Glitter tattoos and colourful hair extensions to add a playful twist

Our fringe game stations were also a massive hit. Guests enjoyed hands-on fun with theme-customised activities such as “Spin the Wheel,” “Flag Erasers Game,” “Metal Maze,” and the classic “Beer Pong”. Each game was carefully selected and designed to align with the global theme, reinforcing the immersive experience.

What’s a Dinner & Dance without show-stopping entertainment? Our carefully curated stage entertainment programme was headlined by the charismatic and seasoned emcee Sylvia Tham. Known for her ability to charm both formal and festive audiences, Sylvia kept the energy high and the programme flowing seamlessly.

The evening kicked off with a high-energy pre-event video, creatively scripted to mimic an in-flight safety briefing. Guests were treated to a humorous yet elegant opening segment featuring the CEO and department heads, setting the tone for an evening full of joy and camaraderie.

Live performances, crowd games, and dazzling lights choreographed with music ensured a lively atmosphere throughout the night.

Challenges & How We Overcame Them

Delivering a themed dinner and dance for 300 guests at Hilton Hotel required careful planning and problem-solving. Here are the key challenges we navigated:

Bringing the “Around the World” Theme to Life in a Single Ballroom

Creating distinct global zones within one ballroom space required creative spatial design. We used a combination of LED wall content, GOBO lighting projections, zoned décor elements, and thematic props — from the airplane installation at registration to region-specific game stations — to transport guests through different cultures without physically moving between venues. The result was an immersive, multi-sensory experience that felt far larger than a single room.

Coordinating a Complex Multi-Element Programme

The evening included live performances, crowd games, a pre-event video featuring senior leadership, lucky draws, fringe activities, and a full dinner service — all running in parallel. We developed a detailed production timeline and assigned dedicated stage managers to oversee each element. The creative in-flight safety briefing video required coordination with RHB’s CEO and department heads during pre-production, which we managed through a streamlined approvals process.

Maximising Engagement for 300 Guests

With a large guest count, there’s always a risk of some attendees feeling disconnected from the main programme. We addressed this by running fringe activities (caricature art, fan painting, tarot readings, glitter tattoos) concurrently with the cocktail reception, and by integrating the rolling lucky draw system so every registered guest had a reason to stay engaged. The variety of game stations — from Beer Pong to Spin the Wheel — ensured there was something for every personality type.
