Start with the presentation sequence, not the screen

A prize presentation name display system shows the correct recipient information at the correct moment during a live presentation. The visible output may look simple, but reliable delivery depends on data preparation, cueing, operator controls, display infrastructure and stage procedures working as one system.

Begin by documenting the actual sequence. Will recipients approach individually, in pairs or as a team? Does the emcee announce each name before the recipient moves? Will photographs be taken at a fixed mark? Can the running order change during the event? These decisions determine how records are structured, advanced and corrected.

Each display record should contain only the fields needed for presentation. Typical fields include display name, prize or category, organisation, team name and an internal sequence identifier. Separate internal identifiers from visible text so operational references do not accidentally appear on screen.

Specify how names with titles, suffixes, initials, preferred names and non-Latin characters will be handled. Set rules for capitalisation, punctuation and line breaks. The system should preserve approved spelling rather than automatically reformatting names without review.

Cueing and operator control

The operator should be able to preview the next record before taking it live. Requirements may include next, previous, hold, clear and jump-to-record controls. If the running order can change, define how an operator searches for or reorders a recipient without exposing backstage activity on the public output.

Clarify whether advancement follows the emcee, stage manager, presentation assistant or another cue source. One person should have final cue authority. Ambiguous verbal cues are a common operational risk, especially when prize titles sound similar.

Display states

Define every state the audience may see, not only the recipient slide. This can include a holding screen, category introduction, recipient name, group recognition, pause state and closing screen. A safe blank or branded holding state should be available when the next recipient is uncertain.

If a recipient is absent, substituted or presented out of order, the operator needs an agreed response. The requirement might be to skip, hold, display the category only or move to a replacement record. That decision belongs in the show procedure.

Visual and accessibility requirements

Names must remain legible from the intended audience and camera positions. Specify minimum text size, contrast, maximum line count and safe margins based on the chosen screen format. Test the longest approved name and category together; a layout that works for short sample text may fail with real records.

  • Use strong contrast between text and background.
  • Avoid relying on colour alone to distinguish status or category.
  • Keep motion restrained so it does not delay recognition or distract from the recipient.
  • Allow enough display time for reading, photography and broadcast capture.
  • Confirm that uncommon characters render correctly in the selected font and output chain.

Accessibility requirements should reflect the audience, venue and event format. Where relevant, consider bilingual content, readable terminology and coordination with captioning or interpreted segments. These measures should be scoped rather than assumed.

Technical and venue dependencies

Record the target resolution, aspect ratio, frame rate and connection route for every destination. A ballroom LED wall, projection surface, confidence monitor and livestream feed may require different outputs. Confirm whether all destinations show the same composition or need separate layouts.

Dependencies commonly include venue power, signal distribution, screen processors, playback computers, network access where required, operator position and sightlines to the stage. If switching or graphics equipment is provided by another party, document the handoff format and who verifies it.

Plan a practical fallback proportionate to the event. This could include a secondary playback device, duplicate approved data, spare adapters, a tested holding screen and a manual printed running order. A fallback is useful only when operators know when and how to activate it.

Data governance and approvals

Establish one authorised source for recipient information. Assign responsibility for collecting, cleaning, approving and freezing the data. The final deadline should leave time for import, visual review and rehearsal, while a controlled late-change process should identify who may authorise amendments.

Limit access to personal information to people who need it for delivery, and avoid collecting fields that are unnecessary for the presentation. Retention, deletion and transfer arrangements should be agreed with the event owner and relevant vendors according to applicable policies and obligations. Privacy and compliance decisions may require appropriate professional review.

Maintain an approval record showing the submitted value, display value, approval status and latest change. After the freeze, corrections should be logged rather than silently replacing the master file.

Acceptance criteria

Turn broad expectations into observable results. Suitable acceptance criteria may include:

  • Every approved record appears in the authorised running order.
  • Displayed spelling and prize information match the frozen source file.
  • The operator can preview, advance, hold, clear and recover without showing control interfaces publicly.
  • The longest record fits within the approved layout at the target resolution.
  • Special characters render correctly on all required outputs.
  • A skipped or reordered recipient can be handled using the agreed show procedure.
  • The holding state can be activated without displaying an incorrect name.
  • The fallback workflow is demonstrated during rehearsal.

Acceptance should occur on the actual output chain where possible. Approval on a laptop alone does not confirm how content will appear through venue processing, LED scaling, projection or broadcast capture.

  1. Standard sequence: Run several records in order using live cue language and normal stage timing.
  2. Long content: Test the longest name, longest prize title and their combined layout.
  3. Character coverage: Check hyphens, apostrophes, accents and required non-Latin scripts.
  4. Late correction: Amend one authorised record and verify that the correct version reaches every output.
  5. Unexpected order: Jump ahead, return to a previous record and resume the sequence.
  6. No-show: Apply the agreed skip or hold procedure without exposing the wrong recipient.
  7. Signal interruption: Simulate the defined failure and activate the fallback method.
  8. End-to-end rehearsal: Include the emcee, stage manager, operator, photographer and presentation team.
