Frequently Asked Questions
How far in advance should I book equipment?
For peak season events (November-January, June school holidays), book 4-6 weeks ahead. Standard bookings need 2-3 weeks notice. Last-minute requests (under 1 week) are subject to availability but we accommodate when possible.
Can I rent equipment without event management services?
Yes. Equipment-only rentals are available for clients who handle their own event management. You’ll still get delivery, setup, and collection — we just won’t provide event coordination or programme design.
What happens if equipment breaks during my event?
We carry backup units for critical equipment (especially inflatables). Our on-site operators are trained to handle minor issues immediately. For AV equipment, our technician stays on-site for the duration of your event to troubleshoot any issues in real-time.
How to scope event equipment rental properly
Before renting event equipment, confirm the event format, venue access window, loading route, power supply, floor surface, setup time, teardown deadline and who is responsible for on-site operation. A simple equipment list is not enough for corporate events because the same item can require different manpower, safety checks and layout planning depending on whether it is used in a ballroom, office, outdoor field, mall atrium or exhibition hall.
For inflatable parks, carnival booths, AV systems, staging, furniture and games, Get Out! Events checks how each item fits into the full event flow. That includes queue management, participant age range, weather exposure, operator requirements, electrical loading, guest circulation and emergency access. This keeps the rental practical instead of treating equipment as isolated items dropped into a venue.
Equipment rental checklist for organisers
- Venue fit: Confirm dimensions, ceiling height, lift access, loading bay rules, floor protection, power points and wet-weather backup.
- Operating plan: Decide who manages the equipment, queues, safety briefing, resets, participant flow and end-of-day handover.

- Production dependencies: Check whether AV, staging, lighting, generators, barricades, tentage, signage or manpower must be bundled with the rental.

When equipment rental should be bundled with event management
If the event only needs a few standalone items, a simple rental arrangement may be enough. If the event involves large crowds, children, outdoor setups, inflatables, public-facing activations, family day zones or senior stakeholders, it is usually safer to bundle equipment rental with planning and on-site coordination. The organiser then has one team responsible for layout, manpower, safety and event flow instead of several suppliers working separately.
