1. Discovery & Concept (4-8 Weeks Before)

We start with a detailed brief — your objectives, audience, budget, and vision. Whether it’s a 50-person leadership retreat or a 3,000-person product launch, we need to understand what success looks like for you. From there, we develop 2-3 creative concepts with mood boards, venue suggestions, and preliminary budgets.

2. Planning & Coordination (2-6 Weeks Before)

Once the concept is approved, our project managers take over the heavy lifting. This includes: venue contracting, vendor selection (catering, AV, entertainment, decor), detailed run sheet development, registration system setup, and stakeholder communications. You’ll have a single point of contact and weekly progress updates.

3. Production & Setup (Event Week)

Our crew handles physical production — staging, lighting, sound, signage, table settings, and all the details that transform a space. We conduct technical rehearsals for AV-heavy events and walkthroughs for complex multi-zone setups. Contingency plans are prepared for every scenario — weather changes, last-minute VIP additions, technical failures.

4. Live Event Management

On the day, our event managers run the show. The client team focuses on hosting and networking while we manage the behind-the-scenes operation: vendor coordination, timeline management, crowd flow, speaker cues, F&B timing, and problem-solving. If something goes wrong (and something always does), we fix it before anyone notices.

5. Post-Event & Reporting

After the event, we deliver professional photo and video content within 48-72 hours. For corporate events, we provide a post-event report covering attendance analytics, guest feedback, budget reconciliation, and recommendations for future events.
