Start with a clear conference or corporate event brief

Whichever agency you shortlist, a consistent brief produces proposals you can actually compare. Include:

  • the event objective and what should be different once the room empties;
  • date, event hours, expected attendance and audience profile;
  • venue status: confirmed, shortlisted or still open;
  • budget range and what it must cover;
  • must-have programme moments, such as a CEO address, awards or a product reveal;
  • suppliers already appointed, and what you expect the organiser to own;
  • accessibility, dietary and any hybrid or recording needs.

Ask to see a draft run of show

The programme is what guests see. The run of show is what the crew does to make it happen, and for one event it can run to many more lines than the programme. A useful draft shows cue times, microphone and screen states, and who owns each line. Ask how the document is version-controlled, who edits it, whether a printed copy is used on the day, and where buffer time sits so a speaker overrun does not push the whole agenda.

Production and rehearsal checks

  • Is there a technical rehearsal, and is crew for rehearsal day included in the price?
  • What is the AV fallback if a presenter's laptop or a video file fails?
  • Who manages speaker arrivals, slide versions and stage walk-ons?
  • How are registration exceptions, such as walk-ins or name changes, handled?

What a corporate event quote should cover

Two quotes for the same brief can differ because they price different amounts of work. Ask each agency to show separate lines for:

  • Production: stage, backdrop, set, furniture and printed graphics, and which drawing the price is based on;
  • AV: sound, lighting, screens or LED, and the technicians to run them;
  • Rigging: anything hung from the ceiling, and any venue-mandated rigger or charge;
  • Manpower: crew numbers, shift hours and overtime rates;
  • Teardown: same-night or next-morning strike, and transport;
  • Management fee: flat or percentage, and what it includes;
  • Contingency: whether one is held and how it is released.

Also check venue and catering costs, GST treatment, exclusions, cancellation terms and how headcount or programme changes affect the price.

Questions to ask any event agency

  • Who will lead my event, and who will be on site on the day?
  • Which comparable event did this company deliver, and what was your team responsible for?
  • Which parts are handled in-house and which by third-party suppliers?
  • What happens if the lead is unavailable on the event date?
  • What insurance, permits and venue approvals are included?
  • What will we receive after the event?
